Part of our responsibility to our clients is to keep up on technology. We constantly research and test new products that appear on our doorstep. We take research very seriously and not everything gets the thumbs up.
We wanted to welcome you to our email filtering system provided by Reflexion. We have evaluated many systems over the years and have chosen to partner with Reflexion to provide spam filtering for our IMS Total Care Clients. This process is fairly seamless however we want to let you know what to expect in the next few days while we start to implement these changes.
If your company already uses another filtering system such as Postini or GFI MailEssentials, you may still receive email through that system for up to 72 hours after we make the major cutover. This is mainly due to the way the Internet servers work, but usually it will take much less time. At no time will you loose any incoming email. Here is how this cutover will work:
1. We setup the Reflexion server to talk to your mail server.
2. We setup all the user accounts for your company.
3. We import all the white lists and blacklists from your current system. (If available)
4. We setup any alias accounts like info@, sales@
5. We verify the list with the Point of Contact for your company.
6. We then make a Internet DNS switch, re-pointing the email from the current to Reflexion.
7. We start an education track that starts to send a daily email (total of 5 days) showing your users how to use the new spam filtering system.
8. We then wait for 72 hours (minimum) then we remove the current system from talking to your mail server.
9. We lock down the email server to only talk to Reflexion which prevents spam bots from back-dooring your email server.

Now the fun stuff !
• Each morning and as scheduled throughout the day, you will receive a quarantine email, similar to the one from Postini, for those that currently are using Postini. |

• Each email that you get once routed through Reflexion, will have a footer added. This will give you lots of information about this email and allow you to instantly block this sender. |

|
• You can also from this footer directly login to the spam filter portal. This is done by clicking on the LOGIN link.
This footer information is automatically removed if you forward the message to someone else. |

• The login will ask for your email address and password. The password will appear to you in a separate email. This may or may not have been sent yet. Should you not know your password, just click the 'Forgot Your Password?' link to have the system resend it to you. |

We will send more information in the future about one of the neatest features of the Reflexion Spam filtering system, Address On the Fly.
This feature will allow you to make up addresses, such as when ordering items on Ebay, Shopping, etc, and see if that vendor shares your address with someone else. This will also allow you to instantly block those users. We featured this in a past newsletter article which you can read now and start using this feature now. |
